New-Hire Onboarding & W-4 Setup
W-4s, state forms and payroll setup handled for every new hire before their first paycheck.
Is this you?
You just hired someone in a state you've never had an employee in before, and you're not sure what that requires.
A new hire started before their W-4 or benefit elections were finished, and payroll had to guess.
You've had an HSA or 401(k) deduction come out wrong because it was coded incorrectly on day one.
If any of those sound familiar, or call +1 (305) 819-3675.
A Missed New-Hire Report Starts a Penalty Clock You Didn't See
Florida requires new-hire reporting within a set window after someone starts, and a missed state withholding or unemployment registration can trigger penalties you won't see until months later. A missing W-4, a wrong filing status, or a benefit coded incorrectly on hire day compounds with every paycheck that follows.

Why employers get new hires set up right
State registration is checked before the first paycheck.
We confirm you're registered for withholding and unemployment in every state where the new hire works, including a state you've never hired in before.
Benefit elections are coded correctly from day one.
HSA, FSA, 401(k) and Section 125 elections are set up right the first time, so the tax treatment is correct from the very first paycheck, not fixed later.
Tax forms and payroll setup happen together.
The W-4, state tax forms and direct-deposit details are collected in one step, so payroll isn't guessing on day one.

Questions
New-Hire Onboarding & W-4 Setup FAQ
What forms does a new employee need to fill out?
At minimum, a federal W-4 and any state or municipal withholding forms required where they work. We also collect direct-deposit information as part of the same onboarding packet.
What happens if we hire someone in a state we've never had employees in?
We register your business for withholding and unemployment insurance in that state before the first paycheck, and add the required new-hire report.
How fast can a new hire be added to payroll?
Once we have a completed W-4 and state forms, most new hires are active in payroll within one to two business days.
Do you handle benefit elections too?
Yes. HSA, FSA, 401(k), and Section 125 elections are coded into payroll at the same time as tax withholding, so the deductions are pre-tax from the very first check.
